What we read
When you connect Google, Matina reads your recent email and your calendar so it can sort what needs you and prepare you for meetings. When you connect Asana, it reads the tasks assigned to you.
Email text is read in the moment to write a short summary, then let go.
Email text is sent to our AI provider, Anthropic, to write summaries and drafts, and is not used to train AI models.
What we store
- Your profile and “How I work” settings
- Tasks, ideas, daily briefs and check-in notes
- For each important email: sender, subject, a one-line summary and any deadline
- Calendar event times, titles and meeting prep notes
- Connection keys for Google and Asana, locked with encryption and never shown in your browser
- How much AI help you used, as counts only
What we never store
- Full email bodies
- Health information of any kind. We never ask about it.
- Your card details. Payments are handled by Paddle, our payment provider.
Who can see what
Only you can see your data.
On Concierge, you can choose to let your human assistant see your Today page, tasks, Inbox Radar summaries and check-in notes. You turn this on in Settings and can turn it off any time. Your human assistant can add tasks, notes and check-in notes. They can never read full emails, write or send email, or change your calendar from inside Matina. Everything they add shows in your Activity log.
Concierge assistants who handle your inbox and calendar directly do it through Google's own delegation, set up with your written permission outside Matina. Matina stores no extra access for this.
A small admin team can see account details like your plan and usage to support you. They do not see your email.
Google user data
Matina's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
- We only use Google data to give you Matina's features: sorting email, drafting replies and protecting your calendar.
- We don't sell it, use it for ads, or use it to train AI models.
- People never read it, unless you ask us for help, it's needed for security or the law, or you give your Concierge human assistant written permission.
How long we keep things
- Full email bodies: never kept. Read in the moment, then let go.
- Email summaries, tasks, ideas, briefs, notes and calendar notes: kept while your account is open, deleted when you delete your account.
- Connection keys for Google and Asana: kept until you disconnect or delete your account, then revoked.
- AI usage counts and Activity log: kept while your account is open.
- Text typed into the homepage demo: never saved.
- Site visit counts: anonymous counts with no personal details.
- Billing records: kept by Paddle as tax law requires.
Payments
Payments are processed by Paddle. Matina only keeps your plan and billing status.
How to delete everything
Go to Settings, then Account, then “Delete my account and data”. Matina disconnects Google and Asana, cancels your subscription, and deletes everything for good. You can also download a copy of your data first with “Export my data”.
